WHATSAPP FOLLOW-UP AUTOMATION READINESS CHECKLIST Kindolab | https://kindolab.com Use this checklist before automating customer conversations. The goal is not to automate every message. The goal is to remove repeatable follow-up work without losing human control. 1. DEFINE THE COMMERCIAL GOAL [ ] Name one measurable outcome: booked calls, completed documents, accepted quotes, paid invoices, attended appointments, or reactivated leads. [ ] Record the current monthly volume for that outcome. [ ] Identify where prospects currently stop responding or staff forget to follow up. [ ] Choose one workflow for the first release. Do not automate the entire customer journey at once. 2. MAP THE CURRENT CONVERSATION [ ] List every way a WhatsApp conversation starts. [ ] Write the minimum information staff need before taking the next action. [ ] List the messages staff send repeatedly. [ ] Mark the decisions that follow fixed rules. [ ] Mark the decisions that require judgement or negotiation. [ ] Define what a successful conversation looks like. 3. CHOOSE THE RIGHT AUTOMATION MODEL [ ] Use fixed workflows for acknowledgements, reminders, routing, and scheduled follow-up. [ ] Use AI only where interpreting free-text language creates real value. [ ] Keep complaints, sensitive information, negotiation, and high-value cases human-controlled. [ ] Define an immediate human-handoff phrase or action. [ ] Decide whether normal conversations remain fully manual. 4. PREPARE APPROVED BUSINESS KNOWLEDGE [ ] Confirm business name, locations, opening hours, and contact details. [ ] Document services, eligibility rules, pricing boundaries, and availability. [ ] List questions the system may answer. [ ] List topics the system must never answer without a person. [ ] Assign an owner who can approve knowledge changes. 5. DESIGN FOLLOW-UP CADENCE [ ] Define the trigger for each follow-up. [ ] Set a sensible delay between messages. [ ] Stop the cadence immediately when the customer replies, declines, completes the goal, or asks to opt out. [ ] Prevent duplicate reminders across staff and automation. [ ] Set a maximum number of automated follow-ups. [ ] Use the customer's context rather than sending generic reminders. 6. CONNECT THE OPERATING SYSTEM [ ] Choose the source of truth: CRM, calendar, spreadsheet, or job-management system. [ ] Record conversation status and next action. [ ] Route urgent or qualified leads to the correct person. [ ] Notify staff when human action is required. [ ] Log message delivery and workflow failures. 7. TEST BEFORE LAUNCH [ ] Test a normal customer journey. [ ] Test missing, unclear, and contradictory information. [ ] Test complaints, urgency, sensitive topics, and requests for a person. [ ] Test opt-out and stop conditions. [ ] Test duplicate events and delayed integrations. [ ] Confirm the system fails safely when a connected tool is unavailable. 8. MEASURE BUSINESS RESULTS [ ] Track time to first acknowledgement. [ ] Track follow-up completion and customer reply rate. [ ] Track human handoffs and unresolved conversations. [ ] Track booked calls, completed documents, accepted quotes, or the selected commercial outcome. [ ] Review failed and low-quality conversations every week during launch. [ ] Compare results with the pre-automation baseline. NEXT STEP Kindolab implements human-controlled WhatsApp follow-up systems and WhatsApp AI agents for small businesses.
